Merchant privacy notice

Application, owner, bank and account information.

Last updated November 5, 2026

Who this notice covers

This notice addresses personal information handled by Etail Depot US, Inc. in connection with United States merchant applications, account support and payment services. It covers business representatives, owners and other individuals whose information is involved. It does not make a customer’s purchase subject to the merchant’s business contract.

Website browsing is covered by the Website Privacy Policy. A bank, gateway or other provider may handle information for its own purposes under its own notice. This notice describes Etail’s role and does not replace those notices.

  • Website Privacy Policy

Information we handle

Etail staff can access application documents, owner identity information and bank information in the provider system. Information available for a particular account depends on the application, enabled services and assigned permissions.

  • Business and contact information, including names, addresses, roles and contact details.
  • Application and verification information supplied for the business and its owners or representatives, which may include identity documents and tax identifiers.
  • Bank information used for the merchant account and its approved funding arrangements.
  • Transaction references, amounts, statuses, adjustments and support correspondence available for the service.
  • Records of account instructions, authorizations, requests and service communications.

Where information comes from

Information may come from you and your representatives, the account service, service providers or an authorized software platform. Information you share in a support request becomes part of that request. We may view information in the provider system without downloading it.

Do not send sensitive application documents or complete payment credentials by ordinary email. Use the secure channel designated for the request.

How we use information

We use information to review and support applications, verify the authority of account contacts, provide your merchant services, investigate transaction or funding questions, communicate about your account and respond to privacy or legal requests.

Information may also be needed for fraud and security controls, applicable legal or network requirements, records of acceptance and resolution of disputes. The purpose and responsible party depend on the activity. Access for account support is not permission for unrelated marketing.

Service relationships and sharing

Information necessary for an account or transaction may be shared with the responsible acquiring bank, processing and verification providers, participating payment networks, and a software platform acting under the merchant’s authorization. Legal or security disclosures depend on the applicable obligation. Only information needed for the relevant purpose should be provided.

If you enroll in optional dispute prevention, Order Insight shares supported merchant, transaction and order information with participating banks. Eligibility, notices and permissions apply. Reading this notice does not enroll you in the service.

Banks and payment networks may handle information independently under their own privacy notices. Processing and access locations vary by provider and service. Contact us for the recipients and access arrangements applicable to your account.

Retention and security

How long we retain information depends on its purpose, the type of record, account obligations, unresolved claims and legal requirements. This includes records from closed accounts and abandoned applications. Account closure does not automatically erase required records. Retained information remains protected. Contact compliance@etaildepot.com to ask about a record’s retention, the applicable criteria or the available deletion process.

Access and disclosure must be limited to authorized purposes and appropriate roles. Use the designated secure account channel and keep your credentials private. No transmission or storage method can guarantee complete security.

Privacy requests and choices

Contact compliance@etaildepot.com without signing in. Identify the service, your relationship to the account and your request. Depending on applicable law, you may request confirmation, access, a portable copy, correction, deletion or limits on sensitive information use. Rights concerning sale, advertising or profiling apply where the relevant law and activity apply.

An authorized agent may act where permitted. We may verify identity and authority using information reasonably necessary for the request and arrange a secure channel for documents. Do not send identity documents, passwords or complete account numbers in the initial email.

We will respond within the applicable legal period and explain any permitted extension or refusal. To seek a review or an available appeal, email compliance@etaildepot.com with the subject Privacy appeal and the original request reference. We will explain the outcome and any available external complaint route. We will not unlawfully discriminate against you for exercising privacy rights.

Where consent is the basis for processing, you may withdraw it for future processing, subject to law. Withdrawal does not invalidate earlier lawful processing. Required records and lawful duties may continue. This notice does not itself authorize advertising, sale or unrelated use of personal information.

Notice updates

We will update this notice when necessary to reflect the service and provide additional notice or obtain consent where applicable law requires. The revision date appears at the top of this page. Updating this notice does not by itself authorize a new use of your information.

Information at each account step

Read the privacy information provided when you register, apply or submit documents. It should explain who collects your information, what is required, why it is needed, how long it is kept and your choices. A credit report, bank debit, optional service or business agreement may require separate authorization; this privacy notice does not provide it.

Welcome and registration
Enter your email in the designated account service to find your account or begin registration. Create a password only in that service and do not share it with Etail support.
Business application
Provide the requested business and representative information through the secure application. Etail staff can access application documents for the permitted account activities described in this notice.
Identity and bank documents
Upload only the requested documents through the secure account process. Etail staff can access owner identity and bank information in the provider system. Any required consent for a credit report, bank debit or other action must be obtained separately.
Support records
Start with an account reference and the information needed for the question. If documents are required, use the designated secure route rather than ordinary email.
Optional services
Read the separate enrollment terms and data permissions before enabling an optional service. Agreement acceptance, payment authorization and promotional choices have different purposes.

Service messages and other businesses

Messages needed to administer an account or meet a legal obligation are separate from optional marketing. Withdrawing marketing consent where applicable does not necessarily stop required account messages. Account support access does not itself authorize promotional use.

For a purchase from a merchant, that merchant is responsible for its own privacy practices and records. Etail remains responsible for information it handles for its own purposes and assists with instructed processing under the applicable agreement and law. A separate cardholder service has its own terms and notices.

Notices and contact

Send legal notices and questions to compliance@etaildepot.com or Etail Depot US, Inc., 2001 L Street NW, Suite 500, Washington DC 20036, United States.
